Records Assistant Jobs: Filing, Digital Records and CV Examples

Prepare for records assistant roles with filing and retrieval examples, digital-record checks, confidentiality awareness and a practical interview exercise.

A records assistant application should show that other people can locate the right record, understand its status and trust how it was handled. Filing is only one part of that work. Read whether the vacancy concerns a registry, customer files, project documents, library material or another collection, then choose evidence relevant to that setting.

Map the record's journey

Describe a process you know from receipt to indexing, storage, retrieval and return or authorised transfer. Identify your responsibility at each stage. For example, receiving a document does not necessarily mean you had authority to approve it, change its classification or decide how long it should be retained.

Use the organisation's actual terms where you understand them. Avoid filling a CV with records-management jargon you cannot explain. If the advert mentions a particular system, distinguish formal training, hands-on use and general familiarity. These are different levels of experience.

Turn accuracy into evidence

Prepare a real example of finding a missing field, duplicate entry, inconsistent date or incorrectly filed document. Explain the check you made and how the correction was authorised or recorded. Do not claim you deleted records simply to make a register look tidy. Good record keeping preserves a traceable history of legitimate changes.

An entry-level example could come from managing a student society's non-confidential inventory or organising a training project's documents. Label that context accurately. Explain the naming convention, index and retrieval check you used. This gives the recruiter something concrete to assess without inventing formal employment.

Practise a small digital-record exercise

Create a fictional list of ten documents with a reference, title, date, owner and status. Sort it, find a duplicate and flag an incomplete row. Explain what you would check before correcting it. Keep dates consistent and separate an empty field from a confirmed “not applicable” value.

If using a spreadsheet, practise filtering without accidentally changing the order of only one column. Reopen exported files to check that characters and dates remain readable. Use fictional data for practice and interview samples; never upload private employer or client records to demonstrate your skills.

Prepare for confidentiality questions

Explain that access should follow the employer's authorisation process. In an interview, discuss how you would verify an unfamiliar request and escalate uncertainty rather than disclose a file because someone sounded senior. Do not offer legal interpretations or invent retention periods. Refer those decisions to the organisation's approved policy and responsible staff.

Assemble a clear application

Put relevant administration, indexing, scanning, retrieval and customer-service experience near the top of your CV. Describe the size or frequency of work only with figures you can support. Check the requested qualifications, location and submission method. Save the role description so you can prepare for the actual records environment if invited to interview.
