Job description
Key Responsibilities
- Prepare and submit IDF and import permit applications, and process import documentation end to end.
- Build, update and circulate the weekly shipment schedule and daily IDF/IMP progress reports.
- Follow up with suppliers, shipping lines and freight forwarders on consolidations and container bookings.
- Manage PVOC applications with KEBS and ensure correct HS code classification.
- Coordinate C&F agents so all clearance documents are lodged before the vessel arrives.
- Arrange marine cargo insurance cover and issue it to agents.
- Track clearing, container loading and delivery, and circulate pre-arrival packing lists to the warehouse.
- Process agent advance payments, update payment schedules and share TT copies and references.
- Reconcile agent invoices, hand over for costing, and keep the manual and digital filing system audit-ready.
- Request and circulate monthly air and sea freight rates from shipping lines.
Qualifications and Experience
- Bachelor’s degree or diploma in Supply Chain Management, Logistics, Procurement or a related field.
- At least 3 years’ experience as a Logistics Officer in imports, preferably in pharmaceutical or FMCG manufacturing.
- Hands-on knowledge of KenTrade/KESWS, IDF and import permit processing, KEBS PVOC and HS code classification.
- Working knowledge of SAP and KISIM certification.
- Strong organizational, problem-solving and time management skills, with clear written and verbal communication.
