Our client is a premium inbound destination management company with an established presence in Kenya, Tanzania, Uganda, Rwanda, Botswana, Namibia and South Africa. The company specialises in personalised travel services, including private guided tours, FIT arrangements, group travel and MICE products.
The company is seeking an organized, service-oriented and commercially aware IME Assistant to support its Incentives, Meetings and Events (IME) and Leisure Groups business.
Reporting to the IME Team Leader, the successful candidate will support the planning, costing, coordination and delivery of IME programmes and inbound leisure groups of 15 or more passengers across East Africa.
Key Responsibilities
Prepare accurate quotations, itineraries, proposals and presentations.
Source supplier rates and prepare competitive costings.
Respond promptly and professionally to client enquiries.
Maintain accurate records of enquiries, quotations and bookings.
Coordinate meetings, conferences, incentive programmes, exhibitions and special events.
Arrange accommodation, transport, venues, catering, guides and other services.
Prepare rooming lists, passenger manifests and operational documents.
Reconfirm all supplier services before client arrival or programme commencement.
Liaise with hotels, venues, transport providers, guides and other suppliers.
Process booking amendments and communicate operational updates.
Support on-site event delivery and service recovery when required.
Maintain complete booking, supplier and financial documentation.
Requirements
Diploma in Tourism, Hospitality, Business, Events Management or a related field.
At minimum three years’ experience in tourism, destination management, hospitality or MICE operations.
Experience coordinating inbound leisure groups, conferences or events.
Experience preparing quotations, costings and detailed itineraries.
Strong organizational skills and attention to detail.
Excellent client service and communication skills.
Ability to manage multiple bookings and deadlines.
Proficiency in Tourplan and Wetu would be an added advantage.
Good written and spoken English.
