Job description

Key purpose of role The role provides high-level, confidential and proactive personal and executive support to the Chief Content Officer (CCO), enabling the effective management of the CCO’s time, priorities, information flow, correspondence and executive commitments. The incumbent serves as a trusted point of coordination within the CCO’s office, supporting the preparation, organisation and follow-through of executive activities, meetings, reporting requirements and governance processes. The role assists the CCO and relevant stakeholders by coordinating information, tracking agreed actions, facilitating communication and ensuring that matters requiring the CCO’s attention are appropriately organised and progressed. The role provides administrative and coordination support to the Broadcasting executive leadership team and the CEO Office, assisting with alignment and information flow between the Broadcasting leadership team and the Group CEO’s Office on relevant strategic, operational and governance matters. A key responsibility is to support the coordination and quality assurance of executive reporting, including Exco and Board submissions, as well as providing secretarial support to Group Exco through effective agenda administration, meeting coordination, submission collation, record-keeping, decision tracking and follow-up. The role may also assist with selected initiatives and projects on behalf of the CCO and Broadcasting leadership team. Operating at the intersection of executive support, coordination and governance administration, the position requires sound judgement, discretion, strong organisational awareness and the ability to manage confidential information, competing priorities and complex stakeholder interactions while maintaining high standards of accuracy, professionalism and service. Key performance areas Executive operations and governance coordination: Ensure the effective functioning of the CCO’s office through structured executive operations, governance coordination and alignment to organisational priorities. Coordinate executive-level workflows, ensuring leadership engagements, governance timelines and key deliverables are appropriately prioritised and sequenced.Maintain the integrity of executive processes, including meeting cadence, agenda preparation, supporting documentation and decision-tracking mechanisms.Coordinate governance requirements, including exco, board and group cycles, in line with organisational and group standards.Maintain visibility of critical business milestones and executive commitments, identifying dependencies, outstanding actions and matters requiring escalation to the CCO.Coordinate the preparation and circulation of agendas, presentations, packs and supporting documentation for executive and governance meetings.Maintain an organised and well-coordinated executive office, with clear visibility of commitments, governance deadlines and agreed actions.Strategic coordination and execution support: Support the coordination and progression of agreed strategic priorities and initiatives, ensuring structured planning, visibility of progress and effective follow-through. Partner with the CCO to support the coordination and operationalisation of agreed strategic priorities.Assist in translating agreed strategic objectives into structured plans, programmes and initiatives, with defined milestones, timelines and dependencies.Coordinate inputs, activities and timelines across agreed strategic and operational initiatives.Maintain visibility of progress against agreed priorities, identifying delays, dependencies, outstanding actions and matters requiring escalation.Coordinate the preparation and administration of strategy reviews and performance discussions, including agendas, presentations, supporting information and action tracking.Consolidate and organise information relating to strategic priorities, execution progress, risks, opportunities and outstanding matters.Coordinate follow-up actions arising from strategy discussions and ensure responsibilities and deadlines are tracked and communicated.Provide organised information and administrative support to assist the CCO with prioritisation and decision-making.Executive reporting and performance coordination: Coordinate the preparation, consolidation and maintenance of executive reporting and performance information to support informed decision-making. Coordinate weekly, monthly and quarterly executive reporting requirements in line with agreed reporting cycles.Consolidate information from relevant business and functional reports for executive review.Prepare and maintain reporting packs, dashboards and summaries reflecting agreed performance measures and strategic priorities.Ensure reporting information is accurate, complete, appropriately structured and available within agreed timelines.Highlight material trends, variances, risks, dependencies and areas requiring executive attention based on information received.Maintain reporting calendars, templates and supporting information to ensure consistency across reporting cycles.Support the preparation of information for executive performance discussions, reviews and decision-making.Execution tracking and delivery coordination: Maintain visibility of agreed actions, deliverables, milestones and dependencies, ensuring timely follow-up and escalation of outstanding matters. Maintain tracking mechanisms for strategic initiatives, executive decisions, action items and agreed deliverables.Maintain accurate records of actions, owners, deadlines, dependencies and progress status.Coordinate follow-up with relevant stakeholders to obtain updates and confirm progress.Issue reminders and escalate overdue, unresolved or delayed matters to the CCO where required.Maintain visibility of project and initiative timelines, milestones and status updates.Identify and highlight execution delays, dependencies, bottlenecks and matters requiring attention.Prepare status updates, action trackers and progress summaries for executive oversight.Support project coordination and progress monitoring where required.Executive office support, enablement and information management: Provide high-level executive, administrative, logistical and information management support to enable the effective functioning of the CCO’s office. Executive support and diary management: Manage and optimise the CCO’s diary, ensuring effective prioritisation and scheduling of meetings, engagements and commitments.Act as a professional point of contact and gatekeeper for the CCO’s office, appropriately prioritising requests and engagements.Manage incoming and outgoing correspondence and communications, screening and coordinating responses where required.Draft selected correspondence, communications and responses based on agreed direction, content and tone.Meeting and event coordination: Coordinate meetings, workshops, conferences and executive forums, including scheduling, invitations, agendas, materials, attendance and follow-up.Prepare briefing packs, presentations, meeting materials, correspondence and supporting documentation.Anticipate and coordinate administrative and logistical requirements for executive engagements.Travel and logistics: Coordinate local and international travel arrangements in accordance with approved requirements.Prepare detailed travel itineraries and supporting documentation.Ensure logistical arrangements are appropriately communicated and coordinated.Information and records management: Maintain organised and accessible electronic and physical records for the CCO and Executive Office.Ensure confidential and sensitive information is appropriately stored, handled and protected.Maintain accurate filing systems, databases and document repositories.Support the appropriate retention, archiving and disposal of records in line with organisational requirements.Digital and AI enablement: Identify and support the implementation of appropriate digital and AI-enabled tools to improve administrative efficiency, information management, scheduling and executive support.Promote consistent and effective use of digital tools within the Executive Office.

Requirements

Minimum required qualification: Matric (grade 12)A BCom degree or degree in business administration, communications or related fieldQualifications considered advantageous: Certification in project managementMinimum years of experience: Minimum 7+ years’ experience working with senior executives, media industry experience is advantageousExperience in strategy coordination, performance monitoring, or executive advisory roles.Strong experience in project or programme management and organisational strategy execution.Experience within media, broadcasting, or a fast-paced environment is advantageous.Additional role requirements: Executive support and business awareness Ability to understand the organisation’s priorities and the CCO’s areas of focus, and use this understanding to organise and coordinate executive activities, information and follow-up requirements effectively.Information management and executive preparation Ability to gather, organise and synthesise information accurately to assist with executive preparation, reporting, meetings and correspondence.Coordination and follow-through Ability to coordinate agreed actions, commitments and administrative requirements, track progress and bring outstanding matters to the attention of the relevant stakeholders.Demonstrates strong executive prioritisation and time management, sound judgement, attention to detail and disciplined follow-through. Uses appropriate digital tools, AI and automation to improve efficiency, organisation and productivity while maintaining accuracy and confidentiality.Stakeholder coordination and collaboration Ability to coordinate effectively across teams and engage professionally with stakeholders at all levels, without direct authority, to facilitate communication, information flow and agreed follow-through.Executive communication Ability to prepare, format and communicate clear, concise and professional information for the CCO and senior stakeholders, including correspondence, meeting materials, presentations and reports.Governance, discretion and confidentiality High level of professionalism and discretion when handling sensitive and confidential information, with an understanding of executive governance processes, meeting protocols, records management and reporting requirements.Judgement and problem-solving Demonstrated ability to exercise sound judgement within the scope of the role, anticipate administrative and coordination requirements, identify potential challenges and escalate matters appropriately.Resilience and performance under pressureAbility to operate effectively in a fast-paced and high-pressure executive environment, managing multiple and changing priorities while maintaining quality, composure and professionalism.Planning, organisation and priority management Advanced organisational skills with the ability to plan and coordinate work, manage competing demands, maintain accurate records and deliver against agreed timelines.Technical and digital proficiency Advanced Microsoft 365 proficiency, including Outlook, Word, Excel, PowerPoint, Teams and Copilot.
