Deadline: 25 September 2026Job PurposeThe Stores Officer manages the receipt, storage, issuance, and reconciliation of drinks, beverages, and snacks purchased for inflight service to crew and passengers. The role ensures adequate, correctly accounted stock is available to support flight operations while maintaining accurate inventory records and cost control in line with Finance requirements.Key ResponsibilitiesInventory Receipt and StoragePlace and receive orders from external vendors, verifying quantities and condition against purchase orders and delivery notes.Store all items in accordance with product handling, temperature, and expiry requirements, ensuring stock is kept secure and in a fit condition for inflight service.Stock IssuanceIssue items for inflight service use to cabin crew ahead of scheduled flights, based on approved request.Maintain a signed record of all issuances, capturing flight reference, quantity from crew member.Inventory Records and ReconciliationMaintain up-to-date stock system records for all inflight items, reflecting receipts, issuances, and balances.Conduct daily counts of stock in storage, reconciling against system records and reporting variances to the Cabin Services Manager.Monitor expiry / best-before dates on all products, across all inflight items, and flag slow-moving items for action.Replenishment and AvailabilityTrack consumption trends on all inflight items, notifying Cabin Services of replenishment needs in good time to avoid stock-outs affecting inflight service.Coordinate with the Cabin Crew Manager on upcoming flight schedules to ensure stock levels match anticipated demand.Raise purchase requisitions for replenishment in line with approved procurement procedures.Cost Control and ReportingMaintain accurate cost records for all inflight items, supporting Finance in tracking inflight consumable costs against budget.Report stock losses, damages, or discrepancies promptly, with supporting explanation.Provide periodic stock and consumption reports to the Cabin Services Manager.Compliance and Loss PreventionEnsure all stock movements are properly documented and authorized, with no unrecorded issuance or receipt.Support internal and external audits by providing accurate records and access to stock on request.Escalate any suspected loss, theft, or irregularity immediately.Competencies and Attributes RequiredHigh attention to detail and accuracy in record-keeping.Strong organizational skills, able to manage stock levels against tight flight schedules.Trustworthy, accountable, and Assertive in handling stock and cost records.Clear communication skills, able to coordinate effectively with both Finance and Cabin Services team.Comfortable working with basic inventory/accounting software and spreadsheets.Qualifications & ExperienceDiploma or degree in Supply Chain Management, Business Administration, Accounting, or a related field.Minimum of 2 years’ experience in stores/inventory management, ideally within an airline, hospitality, or FMCG environment.Working knowledge of inventory management systems and basic reconciliation/accounting principles.Apply Now!Apply by sending your resume to: admin@flypassionair.com
