Job Summary: The position is to be as of 12.10.2026, with an initial contract duration of one year. Employment location will be Kampala, Uganda. The position is paid according to salary group 6 ranging from UGX 3,640,000 – UGX 4,800,000 gross (monthly), with benefits.
Key Duties and Responsibilities
Duties and areas of responsibility
- Assist in drafting, editing, and formatting funding proposals, concept notes, and related documents.
- Support the preparation and drafting of donor communications (e.g., updates, briefing notes, meeting follow-ups, information packages).
- Contribute to donor reporting processes by supporting data collection, drafting sections, and reviewing for consistency and quality.
- Assist in organizing and providing logistical support for proposal development and project inception workshops with parter organisations, and donor-related events.
- Provide background research and prepare donor briefs, profiles, and intelligence notes to support donor engagement.
- Maintain and update databases and filing systems related to funding proposals, opportunities, and donor engagement.
- Support the setup of newly approved projects in internal systems, ensuring compliance with WHH procedures.
- Track deadlines, donor requirements, and internal processes to ensure timely delivery of outputs.
- Provide administrative and coordination support to donor engagement activities, including meetings, visits, and missions.
- Contribute to knowledge management by maintaining templates, tools, and lessons learned for business development and donor relations.
- Carry out other support tasks as assigned by the Head of Business Development, Donor Engagement & Partnerships, and the Head of Programmes as relevant.
Qualifications, Skills and Experience
- University degree in International Development, Business Administration, Communications, or a related field.
- At least 2–3 years of professional experience in a support role related to donor relations, proposal writing, or project administration, preferably in the NGO or international development sector.
- Experience drafting written communication for external stakeholders and supporting donor reporting.
- Knowledge of donor landscapes (bilateral, multilateral, institutional, foundations, private sector) is an advantage.
- Strong organizational and administrative skills, with the ability to manage multiple tasks under tight deadlines.
- Excellent written and verbal communication skills in English; knowledge of German is an asset.
- Proficiency in MS Office; experience with databases, CRM, or project management systems is desirable.
- Great team player with enthusiasm and a willingness to learn and work collaboratively in a diverse team and across departments.
- Willingness and ability to travel when required.
