## Job Description

Procurement Jobs, Silentnight Bedding Jobs. Responsible for recording and updating production data, preparing daily production reports, maintaining accurate records, checking data for errors, tracking production output, supporting inventory records, and providing timely information to the production team. Requires a relevant Certificate or Diploma in Business Administration, Statistics, Data Management, or a related field,. The position is based in Nairobi and requires on-site work.

### Job Purpose

The Production Data Clerk ensures accurate capture, entry, and reporting of production data within the manufacturing process. The role also prepares daily/weekly production schedules for each work Centre (Wire, Quilting, Fabric Sewing, Wood, Pillow & Packaging).

### Key Responsibilities

Data Recording & Entry

- Accurately capture daily production outputs at each work centre.

- Accurately Carry out Manufacturing transactions in Sage ERP.

- Track and update raw material consumption (fabric, foam, wire, etc) against production orders.

- Monitor WIP stock movements between work centres to maintain visibility.

Production Scheduling

- Prepare and release production schedules for each work centre, balancing order priorities, capacity, and material readiness.

- Update schedules to reflect changes caused by machine breakdowns, raw material shortages, or urgent orders.

- Coordinate with supervisors to ensure schedule adherence and highlight risks.

- Compare planned vs. actual output to identify performance gaps.

Data Validation & Reconciliation

- Cross-check production logs with shop-floor reports to eliminate discrepancies.

- Reconcile raw material consumption with finished mattress/bedding outputs.

- Escalate abnormal variances (e.g., high scrap in cutting, overuse of quilting fabric) for investigation.

Reporting & Analytics

- Prepare daily, weekly, and monthly production performance reports by work centre.

- Provide KPIs such as efficiency, utilization, yield, downtime, and OTIF (On Time In Full).

Compliance & Documentation

- Maintain complete, auditable production records for all work centres.

- Ensure compliance with internal policies and external audit requirements.

- Provide data support during internal and external audits.

Additional Duties

- Perform any other relevant duties as may be assigned from time to time by Management.

### KEY KPIs

- Real-time, accurate production data across all production work centres.

- Effective schedules that optimize Bonnel, quilting, Mattress assembly, Wood and packaging capacities.

- Timely and reliable production reports for management decision-making.

- Full traceability of Raw Material movement, variances, and production outcomes.
