About the Role
We are looking for a proactive and detail-oriented Procurement Officer to coordinate international purchases, shipping documentation, regulatory requirements and customs clearance while ensuring timely delivery and compliance.
Key Responsibilities
- Coordinate import orders, proforma invoices, purchase orders, shipment schedules and supplier follow-ups.
- Review commercial invoices, packing lists, Bills of Lading, Air Waybills, Certificates of Origin and other shipping documents for accuracy.
- Manage Import Declaration Forms, import permits and other regulatory documentation required before shipment and customs clearance.
- Handle Duty Remission Scheme documentation, approvals, utilisation, reconciliations and closure records.
- Coordinate clearing agents, freight forwarders, shipping lines, transporters, suppliers and internal departments.
- Monitor customs entries, duties, taxes, exemptions, bonds and outstanding Kenya Revenue Authority matters.
- Track shipments and provide timely updates on expected departure dates, expected arrival dates, clearance status, delays and delivery dates.
- Maintain complete and audit-ready import records for Kenya Revenue Authority, Authorised Economic Operator and post-clearance audits.
- Monitor clearing, freight, port and transport costs and help prevent demurrage, detention and storage charges.
Qualifications & Experience
- Diploma or degree in Procurement, Supply Chain Management, Logistics, International Trade or a related field.
- Minimum three years’ practical experience in procurement, imports and customs clearance in Kenya.
- Strong working knowledge of the Duty Remission Scheme, Kenya Revenue Authority customs procedures, Import Declaration Forms, customs entries and import documentation.
- Experience working with clearing agents, freight forwarders, shipping lines and regulatory authorities.
- Good understanding of International Commercial Terms, import lead times and shipping documentation.
- Proficiency in enterprise resource planning systems, Microsoft Excel and other Microsoft Office applications.
- Strong attention to detail, record management, communication and follow-up skills.
- Experience in the chemical, agricultural or another regulated industry will be an added advantage.
