POSITION: EXECUTIVE ASSISTANTLocation: Malawi About Masters Finance LtdMasters Finance Ltd is a Deposit-Taking Microfinance Institution committed to expanding financial inclusion through innovative, customer-focused financial services powered by technology. As the institution prepares to transition into a commercial bank, it is seeking a highly organized and professional Executive Assistant to support the Executive Office.Job OverviewPosition: Executive AssistantReports To: Human Resources and Administration ManagerThe Executive Assistant will provide high-level administrative, organizational, and coordination support to the Chief Executive Officer (CEO) and the Executive Management Team. The role is responsible for managing executive schedules, coordinating meetings and travel, handling correspondence, maintaining confidential records, and ensuring the smooth operation of the Executive Office.Key ResponsibilitiesExecutive SupportManage the CEO’s diary, appointments, and daily schedule.Coordinate meetings, appointments, and executive engagements.Screen and prioritize correspondence, emails, and communications.Draft, proofread, and format letters, reports, presentations, and other official documents.Maintain organized executive filing systems.Provide administrative support to the Executive Management Team.Communication & CorrespondenceReceive and direct telephone calls, emails, and correspondence appropriately.Communicate executive instructions and decisions promptly.Maintain professional relationships with clients, regulators, service providers, and other stakeholders.Travel & Event CoordinationCoordinate local and international travel arrangements for the CEO and Executive Management.Organize Board meetings, executive meetings, conferences, workshops, and corporate events.Administration & Records ManagementMaintain confidential records and documentation.Ensure proper document control and record retrieval.Maintain executive registers, schedules, and trackers.Monitor key deadlines, submissions, and regulatory requirements.Handle sensitive information with discretion and confidentiality.Support day-to-day operations of the Executive Office.Process administrative and procurement requests in line with company procedures.Perform other duties assigned by management.
Requirements
